Smart Workplace
Smart Workplace is a Digital Public Infrastructure (DPI) initiative that provides a virtual office platform for government employees. It is a suite of office productivity tools designed to promote collaboration among employees across government agencies.
The platform is deployed as a secure, shared, multitenant architecture, enabling all government agencies to reuse and benefit from a unified system. This approach supports standardization, interoperability, and rapid deployment across agencies. Since it is developed once and reused, agencies can quickly onboard and begin operating within a virtual environment. It empowers employees to collaborate efficiently—even outside the traditional office setting—boosting both productivity and operational efficiency.
Core Components
- Email System
- Microsoft Teams for virtual meetings
- Microsoft Calendaring System
- Office Suite (Word, Excel, PowerPoint)
Workflow Modules
To enhance functionality, a SharePoint-based workflow platform has been integrated, providing key modules such as:
- Correspondence Management (Intra and Inter-agency)
- Document Management
- Leave Management
- Requisition Management
- Memo Workflow
- Helpdesk
The platform is also flexible and scalable, allowing automation of additional workflows tailored to the unique operations of specific government departments and agencies.
Centralized Management
Smart Workplace is centrally hosted and managed by a team of highly skilled engineers. This centralized management ensures efficiency, reduces costs, and allows agencies to focus on their core mandates while relying on the platform as a service.
Local Innovation
The platform is developed by a Ghanaian-based IT firm, eSolutions. This initiative underscores the Government’s commitment to partnering with the private sector to drive transformation in the public sector through digital tools. It also highlights the Government's effort to support local IT businesses and build their capacity to compete both regionally and globally.
Adoption
To date, over 600 Ministries, Departments, and Agencies (MDAs), as well as Metropolitan, Municipal, and District Assemblies (MMDAs), have been onboarded and are actively using the platform.
